Staff onboarding

Find the person, check document and uniform progress, and see training needing attention.

Recorded in ClubPilot using fictional demo data. Screen layouts may change as the product improves.

WHAT CHANGES

Less chasing. Clearer ownership. Better follow-through.

One view of the remaining work

Find the person and their club, then check document receipt, uniform progress and training without asking several colleagues for separate updates.

Completion and review stay distinct

Record when an item is received or completed. Requirements that need a reviewer remain visible until an authorised person verifies them.

Follow-ups continue after day one

Keep employee check-ins, certificate renewals and unfinished onboarding visible so the handover continues after the welcome is done.

A PRACTICAL START

Gym staff onboarding software: how the workflow works

For gym owners, club and area managers, and the people who coordinate new starters across one or several clubs. Access and review actions follow the user's role and assigned locations.

  1. 01
Add the starter and their club

Record their role, employee or contractor engagement, start date and contact details. The editable checklist gives the team a starting point for the person's onboarding.

  2. 02
    Work through the requirements

Update documents, training and uniform details as work happens. Add notes, record certificate expiry dates and send completed requirements through the relevant review.

  3. 03
Finish the handover and follow up

Review outstanding items, complete the relevant employee check-ins and record the result. Responsible administrators receive reminders when follow-ups are due.

ILLUSTRATIVE REPORT

A new starter's record should explain the next action.

This fictional example shows how a club manager and onboarding colleague can work from the same record without treating an unfinished requirement as cleared.

StarterJordan joins the fictional Eastbank Gym; their role and start date are recorded.
DocumentsRequired paperwork is marked received and is waiting for the authorised reviewer.
UniformSizes and quantities are recorded; the order is still outstanding.
CertificateA current CPR expiry date must be recorded before the certificate can be verified.
First-week check-inThe responsible colleague sends the drafted email from their email app, then records it as sent.

Document progress and a useful history

Track receipt, completion, verification and the person who recorded each step. Keep tax, bank and identity documents in your approved payroll or HR system; use ClubPilot to record the checks and outstanding work.

Uniforms have their own progress

Record items, quantities and sizes, then track the order through to receipt or provision. The onboarding view checks uniform progress alongside checklist reviews and staff details.

First aid and CPR renewals stay visible

First aid and CPR items need a current expiry date before verification. Authorised onboarding staff see expiry alerts from one calendar month before expiry, and the record remains in view until it is renewed.

A reminder has a person to act on it

Employee start dates drive the first-day welcome reminder, one-week email and two-week call. The responsible colleague receives the reminder, does the follow-up and records completion. Open onboarding items can also trigger a reminder seven days after the start date.

PRACTICAL ANSWERS

Gym staff onboarding software: before you add another system.

ClubPilot starts with the operating problem, not a forced platform replacement.

What does gym staff onboarding software cover?

ClubPilot tracks each starter's documents, uniform and training, plus relevant setup and follow-up tasks. The record includes ownership, completion, review status, notes and certificate dates so the onboarding team can see the next action.

Can we adapt the checklist to different roles?

Yes. The starting checklist reflects the staff role and employee or contractor engagement. Authorised users can add requirements, name the responsible person or role, and choose whether reviewer verification is needed. Marking an item Not required needs a reason.

Does ticking an item mean onboarding is cleared?

A tick records receipt or completion. Clearance also checks required reviews, certificate dates, uniform progress and staff details. A completed item that needs verification remains awaiting review until an authorised reviewer checks it.

Does ClubPilot automatically email the new employee?

Follow-up reminders go to the responsible administrator. For first-day and one-week employee emails, Draft email opens your email app and Copy email gives you the text to send; record the item as sent after sending it. The separate manager login welcome has a preview and an explicit Approve access & send welcome action. Adding a staff record does not send that invitation automatically.

Can we bring staff details in from Deputy?

Where Deputy is connected for your workspace, authorised administrators can preview staff matches and available training dates before importing. New people need their role and engagement confirmed, and imported certificates need review. The import preserves existing uniform and onboarding history and does not send invitations or employee messages. Confirm the connection scope and any applicable costs before activation.

Does this handle payroll or gym memberships?

Keep payroll, rostering, memberships, bookings, billing and access control in the specialist systems your business uses. ClubPilot tracks the operational onboarding steps and handovers, with connections assessed for your workspace where needed.

What happens when someone leaves?

An authorised user can archive their staff record to hide it from the active list and stop its onboarding reminders. Archived records can be viewed and restored if needed. Manage their login access separately through the relevant account controls.
